Full-time Office Administrator

GENERAL DESCRIPTION:   With direction from the CEO and Executive Leadership Team, the Office Administrator provides the support necessary for consistency and continuity at Impact America.  Minimum three years of relevant work experience.

General Administrative Support:

  • Serves as the first point of contact for new inquiries about the organization (phone, email, etc.) as well as communication needing immediate attention during business hours.
  • Ensures the opening, closing, and daily preparations surrounding such for the Birmingham headquarter space.
  • Identifies administrative support and logistical support needs and provides assistance through regular and frequent communication with all Impact America Employees.
  • Assists in maintaining relationships with vendors and supporters.
  • Assists in donor relationship administrative needs (thank you notes, mail-outs, etc.).
  • Oversees maintenance needs for Birmingham Office.
  • Maintains equipment inventory for organization.
  • Oversees office supplies/inventory needs.
  • Assists in securing space for professional development or other training needs.

Employee Relations:

  • Assists leadership in the capacity of employee care/concern/appreciation.
  • Assists in recruiting of new employees through job postings and managing general solicitations surrounding employment and volunteer opportunities.
  • Ensures timely and accurate processing of new hires.
  • Oversees administrative onboarding and offboarding.
  • Maintains Personnel Files.
  • Maintains calendar of employee evaluation timelines and communicates due dates with appropriate member of leadership.
  • Serves as Employee health care Administrator.

Other Duties as Assigned.
